Administrative assistants are responsible for coordinating presentation materials and set up for client meetings. Handles travel arrangements and helps manage SVP & execs' calendar/scheduling. Sends mailings and other correspondence to clients. Manages and updates contact files for clients and prospects. Maintains client, prospect and general correspondence files and report distribution information. Manages contract processing from transmittal to return to client. Involved in special projects that require confidentiality. Works with internal software to assist in servicing clients. Responsible for tracking revenue by client. Completes and tracks custom projects through internal systems from specification, order, deliver to billing.
-Requires a high school education or equivalent and 2 - 4 years related experience. Some College education desired. -Requires thorough knowledge and understanding of the department operations and procedures. -Must have the ability to handle highly confidential information. -Under general supervision, provides a wide variety of administrative and staff support services to a department. -Receives and responds to routine correspondence, requests and inquiries. -Business contacts include persons at all levels of the organization, industry and community. -Strong PC skills, including Word, Excel and PowerPoint. -Good written, phone and verbal communication skills. -Strong interpersonal skills. -Excellent attention to detail. -Ability to handle multiple projects simultaneously. -Ability to work independently, using good business judgment. -Client-focused. -Superior organizational and time management skills.
