As the Finance & Customer Service Specialist (internally Lead Associate) you will be a member of the Learning & Conferencing team and will play a key role in the operations, customer service, and logistical needs for the department and the Mary M. Gates Learning Center (MGLC).

YOUR KEY RESPONSIBILITIES / ESSENTIAL DUTIES OF POSITION:

Logistics & Customer Service

1. Provide direct customer service by dealing with customers either by telephone, electronically or face-to-face. Respond promptly to customer inquiries. Handle and resolve customer complaints. Obtain and evaluate all relevant information to handle inquiries and complaints. Direct requests and unresolved issues to the designated source. Communicate and coordinate with internal departments.

2. Reserve meeting rooms and coordinate room set-up, audio/visual and catering needs for events that occur in the Mary Gates Learning Center by working with others such as facilities, IT, caterers and customers.

3. Ensure that the Mary M. Gates Learning Center operates smoothly and work diligently to maintain a professional, friendly and welcoming environment for attendees.

4. Provide reports for the Mary Gates Learning Center on sales and usage.

5. Assist in the business development for all product lines by researching growth opportunities, building relations and driving sales activities.

Finance

1. Monitor and assist with the yearly budgeting process, revenue/expense tracking, and monthly performance reporting to include metric tracking.

2. Develop individual program budgets (e.g. course budgets) and budgets for new products.

3. Prepare and process payment requests in an accurate and timely manner.

4. Prepare and process all levels of contracts.

5. Act as vendor liaison.

6. Reconcile course registration.

7. Reconcile against the general ledger and trouble-shoot discrepancies.

8. Institute new processes when applicable.

General

1. Provide project based support for the Learning & Conferencing team.

2. Prioritize and manage work load to ensure timely achievement of deliverables.

3. Support a positive team environment through active participation in team-related activities.

4. Maintain confidentiality of information reviewed, processed and/or filed.

5. Support the Mary Gates Learning Center.

6. Other duties as assigned.

Requirements

Education Requirements:
High school diploma or equivalent. College degree preferred.

Experience Required:
At least 4 to 6 years of intermediate-level experience in a similar role. Must be available from 9:00 a.m. 6:00 p.m. and evenings and weekends as needed to support events. Demonstrated proficiency in standard computer applications (Word, Excel, PowerPoint, Outlook) with high level of accuracy resulting in production of error free copy. Familiarity with intermediate Excel features, including the use of formulas, formating and filtering. Demonstrated ability to use Excel as a daily tracking and reporting tool. Demonstrated ability to work in a fast-paced environment excercising initiative and flexibility in carrying out assignments. Demonstrated good interpersonal and communcation skills and excellent telephone manner with the ability to exercise tact and good judgement. Ability to work with mathematical and statistical concepts such as fractions, percentages, ratios and proportions in practical situations. Possess professional demeanor, high level of integrity, and personal values that are consistent with United Way Worldwide's mission. Technical background and database management knowledge is important. Knowledge of Salesforce.com and Meeting Room Manager is a plus. Ability to interact with all levels of staff. Excellent customer service skills.
