Title: Administrative Assistant - Bilingual Location: US-GA-Suwanee Other Locations: * Provides administrative support for the Division Managers and their staff. * Assists with routine correspondence, various department reports and project assignments. * Communicates with Exempt and Non-exempt Associates in a professional and confidential manner. * Handles clerical support for the Division Manager and other staff members as needed. * Transcribes notes into correspondence, composes letters and memorandums for signature. * Maintains calendar for Manager(s), arranges meetings and keeps Division Manager up to date regarding appointments and deadlines. * Maintains follow-up file and lists to ensure that schedules and deadlines are being met on all active projects, reports, correspondence and meetings. * Maintains a high level of confidentiality in regards to all Company and Associate matters. * Retrieves, opens, sorts and distributes departmental mail. Answers telephone, meets visitors, schedules appointments. * May coordinate travel arrangements if requested for Division Manager and staff members as needed. * Prepares presentations/reports/graphics as requested for Manager. * Completes online expense report and forwards report and receipts to Financial Shared Services. * Sends quarterly business reviews and follow-up letters to District Sales Managers. * Serves as primary meeting coordinator and planner specifically for events. * Liaison for field issue resolution. * Follows safety policies and maintains good housekeeping in work area. * Must maintain confidentiality of payroll, personnel and other confidential information. * Ability to establish and maintain a good relationship with exempt and non-exempt associates and visitors. * Must work neatly, accurately, and make independent decisions to adapt to specific circumstances. * Must independently initiate and prepare required reports timely and with minimum supervision. * Must be able to accept change in job content and develop and/or recommend new ideas and techniques in performing job. * Must communicate effectively and get along professionally and tactfully with other associates. * Exercises professionalism in dealing with all situations. * Maintains the confidentiality of Company information. * Must be able to work overtime as needed. * Must be able to work flexible hours depending on business need. * Performs other duties as assigned. * High School diploma, GED, or equivalent experience. * Bilingual (English/Spanish) skills required. Must be fluent in Spanish, oral and written. A written Spanish translation test will also be given. * Two to three years administrative experience required, preferably in Branch or Sales Operations * Must be able to receive and comprehend large quantities of varied data, organize and present it when required. * Must be able to operate all office machines. Strong organizational skills. * Excellent written and verbal communication skills. * Ability to handle fast paced environment and demonstrate flexibility. * Able to demonstrate good interpersonal skills and take initiative on specific issues. * Ability to prioritize handling of situations. * Must have a positive attitude. * This position has a 12-month residency requirement. *LI-UB
