Administrative Medical Clinic Assistant - (Bilingual English/Spanish at an Interpreter Level is Required), Vancouver, WA Job ID: MN20131705-82261 Employer Name: PPCW - Planned Parenthood Columbia Willamette Description: Planned Parenthood Columbia Willamette is currently seeking a Spanish Speaking Bilingual Administrative Medical Clinic Assistant for our Front Office in our Vancouver, WA health center. This position will be required to engage as an interpreter in addition to the regulalry assigned Front Office Duties. We are seeking organized and detail oriented applicants that enjoy medical administrative office work, checking patients in and out and assisting patients in determining payment options including insurance, federal and state grants. Math skills are required for charge entry and some billing. The position is part-time (30 hours/week) with a potential to become full time (37.5 hrs). The schedule is Monday and Thursday through Saturday, 8 hour shifts. Travel to other health center locations during the initial 90 day trial service period may be required. Base pay is $12.00 / hr plus experience, if applicable. Bilingual Spanish premium pay is an additional .50 per hour. After demonstrating interpreter abilities, the employee will receive an additional .50 per hour. This requires passing apre-hirewritten and oral exam at 90% or greater and a period of interpreter observations. Planned Parenthood Columbia Willamette provides confidential family planning services, including abortions, while providing patients a sense of dignity, trust and safety. The Clinic Assistant I Front Office - BIlingual Interpreter is responsible for providing front office support in the health center which includes accurate data entry, checking-in patients in a timely fashion, preparing paperwork, answering phones, and scheduling appointments. This is an entry level position. After demonstrated proficiency of the essential functions of this position, the successful employee is eligible and expected to train for theClinic Assistant II Front Officeposition which includes assessing client financesand will include verifying Commercial Insurance benefits, health plan authorization, CCare, OHP, DSHS, Take Charge with picture ID, collect fees and donations per Agency guidelines, complete appropriate forms and obtain signatures per Agency policy review and reconcile billing charges on a daily basis. The CAII will require understand pairing of ICD 9 & CPT for accurate coding of services. Upon successful completion of training, the employee who becomes a Clinic Assistant II is eligible for promotional pay, currently a 5% increase over base pay. Essential Functions: Clinic Assistant I Front Office - Bilingual Interpreter (Spanish/English) The following will be performed in bothEnglish and Spanish: * Greet clients, answer phones, refer calls, and make appointments. * Schedule appointments for family planning, including but not limited to contraceptive and abortion services. * Input and update client data information into EPM/EHR data system and chart, as applicable. * Enter information into a data system for medical visits and collection of fees, ensuring information is correct in the data system and paperwork, including patient chart. * Copy and transfer charts as needed. * Contribute to the management of patient flow within the clinic. * Maintain patient records, filing systems, data systems, patient logs and records transfers. * Provides interpretation services as needed. * Performs observations of interpreter applicants (Pre-Interpreter Clinic Assistant/Call Center Test Observation Record). * Responsible for observing and providing feedback for new interpreter staff (Post-ICT Observation Record). * Communicate with manager and PPCWs Lead Interpreter (LIT) any problems that arise from interpretation/translation services in the health center. Notify LIT is translation of documents are needed. * Willing and able to learn the essential functions of the Clinic Assistant II Front Office position including: patient check-out; charge entry into EPM/EHR data system; understand pairing of ICD-9 and CPT coding; enter, review and reconcile billing charges; and provide Pregnancy Test & Options patient visits. * Meet the following physical demands: sitting, standing, bending and twisting of the neck and waist, repetitive movements of one or both hands, and reaching above/below shoulder height up to 8 hours/day; walking up to 6 hours/day; squatting, kneeling, and moving items weighing 25 pounds or less up to 2 hours/day; driving and moving items weighing up to 50 pounds less than 1 hour/day. * Meet the following environmental demands: able to shout in order to be heard and potential exposure to infectious diseases. Essential Functions: All Clinic Assistants within Planned Parenthood Columbia Willamette. * Maintain regular attendance. Must be able to demonstrate reliability by arriving to work on time and taking breaks in expected time frames. * Prepare center for opening and secure for closing as required. * Monitor center flow and client wait time. * Ensure ongoing communication with Assistant Manager(s),Center Manager, and other center staff. * Comply with HIPAA confidentiality and Mandated Reporting requirements. * Comply with all safety policies and procedures including infection control. * Communicate with patients regarding PPCW health care recommendations, including STD test results and follow-up. * Comply with PPCWs Policy and Procedure Manual and protocols. Maintains the highest level of professional and ethical standards and act in compliance with both the letter and spirit of all applicable laws and regulations * Ensure compliance with all regulatory requirements (e.g. annual TB testing, biannual review of emergency policies, procedures and drills, annual OSHA training review, etc.) per Agency policy and regulatory mandates. * Understand funding options for patients such as grants, private, state and federal insurance programs, such as CCARE, Take Charge, OHP, DSHS and Title X contract guidelines. * Establish an understanding of the following, based on the requirements of the position: anatomy and physiology, methods of contraception, STDs, pregnancy, adoption, abortion, early prenatal care, community resources, agency protocols and referral procedures and all relevant Planned Parenthood programs. * Attend trainings, staff meetings and in-services. Maintain and increase knowledge of protocols and procedures. * Adhere to affiliate goals and policies on professionalism and customer services, such as in-clinic wait time, addressing client complaints, and providing a clean and orderly environment. * Participate in health center efforts to achieve established goals for productivity, quality metrics, and revenue cycle goals. * Identify and report errors, near misses, and employee, patient and customer safety concerns in a timely manner. * Support risk and quality management by proactively communicating identified risks to supervisor in order to minimize risk when possible. * As needed assist in the training of new staff and volunteers by demonstration, observation and feedback. * Ensure client satisfaction and adhere to the Clients Bill of Rights. * Assist and support the clinical staff, based on the requirements of the position, in the provision of: contraceptive services, emergency contraception, in-center and medical abortions, ultrasounds, colposcopy, LEEP, and sterilization services. * Ability to problem solve, set priorities, take initiative, use good judgment and utilize resources effectively. * Ability to work Saturday, Sunday and/or evening hours. * Willingness and ability to travel and work at other health centers as needed. * Meet Patient Services Standards and Expectations. * Meet Patient Services Competencies. * Supportive of the mission and goals of Planned Parenthood. Minimum Qualifications: * High School Diploma or equivalent * Equivalent of 2 years full-time, paid direct customer service experience; OR, a graduate of an accredited Medical Assistant Program with successful completion of externship and 6 months of full-time, paid direct customer service experience. * Experience in womens health care and electronic health records (EHR) is preferred. * Demonstrated computer literacy with at least 35 WPM and basic knowledge of keyboarding, using Microsoft Word, Excel, Outlook, the Internet and data entry systems. * Demonstrated basic math skills such as add, subtract, and calculate percentages. * Demonstrated Spanish interpreter skills: * Score of 90% or above on each of the written and oral Fluency Bilingual Tests * Successful completion of the following requirements: * Pre-Interpreter Clinic Assistant/Call Center Test (ICT) Observation Record (10 observations of an interpreted clinic visit) * Minimum score of 90% on the ICT written and oral tests * Post-ICT Observation Record (12 demonstrations of interpreted clinic visits) * Approved by Lead Interpreter to interpret/conduct visits independently. Other Requirements(if offered position): * Successful completion of a multi-state criminal background check. * Submission of documentation for immunization and screening records, including: negative Tuberculosis screening within the last 12 months; two (2) MMR/Rubella vaccination dates or proof of Rubella immunity; three (3) Hepatitis B vaccination dates, proof of immunity, or signed declination. * Provide proof of your highest education level completed - copy of your diploma or unofficial transcripts.
