The Purchasing Agent is responsible for sourcing and procuring supplies, equipment, and services for multiple departments, using a variety of system and methods of acquisition. The Purchasing Agent places orders in a timely fashion to meet the needs of customer departments, patients, and members.
Essential Functions:
- Submits Purchase Orders for supplies, equipment, and services using the most appropriate method. Ordering methods include the IRCS-MMIS system, eProcurement portals, EDI, Host Fax, and telephone.
- Screens requisitions to ensure all appropriate information is included. Obtains approval authority as necessary before placing orders.
- Researches receiving and price discrepancies. Works with Accounts Payable and other Key departments to reconcile transactions. Uses various purchasing reports to track transactions and metrics.
- Collects usage history and performs analysis to identify cost reduction opportunities. Coordinates product conversions, adds items to the IRCS system, and communicates product issues to material coordinators, clinical staff, and other stakeholders.
- Communicates with vendor representatives to obtain RFP's (Request for Proposal), bids, samples, and other related product information. Negotiates pricing, terms and conditions when no contract exists.
- References national and regional contracts for pricing, terms and conditions. Follows established standards for supplies and equipment. Participates on selected national sourcing and standards teams.
- Responds to various departments regarding order and fulfillment issues. Expedites orders to meet customer demands as necessary.
- Assists with product and supply recalls.
- May perform other duties as assigned.
