Provides support for Materials Management through a variety of administrative, contract management and procurement responsibilities. Under guidance from the department director, assumes primary lead in coordinating regional supplier diversity efforts.


Essential Functions:
- Supports Procurement efforts by: a) Scheduling vendor meetings, b) Maintaining lists and spreadsheets of transactions and commitments, c) Placing purchase orders for selected equipment, supplies, and services (as backup to the Purchasing Agents), d) Expediting orders and following up with back orders, e) Reviewing and coding invoices for approval, f) Tracking savings efforts for reporting to regional and national leadership. 30%

- Coordinates Regional Supplier Diversity Efforts by: a) Contacting vendors to complete Supplier Profiles to ascertain size and ownership status b) Developing reports and tracking spending on Small, Minority, Women, and Veteran owned business entities (SMWBEs), c) Providing diverse vendor information to key audiences including National Supplier Diversity (NSD), and key member groups such as the City of Atlanta and the State of Georgia, d) Assisting is promoting local diversity efforts including participation on the Regional Diversity Steering committee, meeting with department managers to inform and educate on local diversity efforts, and coordinating and representing Kaiser Permanente at local diversity functions (e.g. Georgia Minority Supplier Development council, business expositions, etc.). 30%
- Provides Administrative support through: a) Managing file systems, b) Coordinating meeting set-up and logistics, c) Completing Policies and Procedures as specified by department managers and supervisors, d) Tracking department statistics, training, and compliance efforts completing reports as necessary, e) Assisting in the development of web content for the Materials Management web page, f) Handling meeting procedures and practices to enable SOX (Sarbanes-Oxley) compliance. 20%
- Assists with contract administration by: a) Maintaining and updating various contract templates, b) Researching contract information from the Supply Chain Management (SCM) website, c) Tracking contract status with vendors (e.g. expiration dates, local v. national, etc.) and maintaining a contract database, d) Following up with vendors to complete necessary contract documents (Business Associate Agreements, liability certificates, etc.), e) Tracks spending on Independent Contractors, ensures that proper documents are in place, and maintains the necessary files. 20%



Requirements

Basic Qualifications:
- Three years experience working in a Materials Management, Healthcare, or Business Environment.
- Demonstrated proficiency working with business software applications, email, Microsoft Excel, and Word. Professional communication skills, both written and oral.
- Good organizational and analytical skills.
- Demonstrated ability to work independently completing projects as assigned.



Preferred Qualifications:
- Bachelor's degree in Business Administration, Healthcare Administration or comparable degree.
- Three Years experience working in a Materials Management, Procurement or Administrative environment.
