Key Responsibilities: Receive and screen visitors and employees from other offices and notifies appropriate personnel Distribute name badges to visitors, temporary employees, etc. Schedule meeting rooms for all Answer and transfer calls Responds to general inquiries concerning area activities in accordance with established policies and procedures Update Company phone list, monthly birthday list and Company Calendar in a timely manner Classification and preparation of vendor invoices for payment Oversee parking space and internal common facilities such as meeting rooms, break room, decoration, etc. Maintain the facility and its components by applying preventive maintenance to maximize the useful life of the facility Coordinate facility service fulfillment through resolution of all issues identified as actionable Ensure that the site is maintained in a fashion that provides for a clean and safe working environment Identify, evaluate and implement savings initiatives, service enhancements and process improvements Work with the Property Management in developing estimates, requesting quotations and the supervision of service agreements Manage contracts with suppliers and service providers to leverage cost savings for the company Monitor and manage expenditures to stay within approved budget levels The position also provides administrative support to assigned executives from shared services units as much as possible as requested by direct supervisor Act as back-up of direct supervisor as needed Coordinate travel arrangements to include domestic and international flights, hotels, and ground transportation as requested by direct supervisor Work closely with direct supervisor or assigned person to organize company-wide events Any other tasks as assigned by supervisor 3-5 years experience in similar position Must be fluent in Spanish and/English. Fluent is defined as being able to read, write and speak, in both languages. In addition, must be able to translate from/to Spanish/English Highly developed PC skills including Microsoft Word, PowerPoint and Excel Communication and customer service skills to effectively interact with all levels of internal and external customers Proven ability to maintain confidentiality Highly developed organizational and prioritization skills Ability to handle multiple tasks and changing priorities Ability to work with a high degree of accuracy Must be a doer with superior follow though and negotiation skills Must have superior interpersonal skills Ability to work flexible schedule from time to time Ability to maintain privacy and confidentiality of potentially sensitive information is an absolute must Ability to coordinate and manage simultaneous projects and successfully prioritize multiple tasks while using good judgment under tight timelines Self-starter with ability to work independently as well as collaboratively Customer focused with high attention to detail and high level of professionalism Strong working knowledge of and be able to demonstrate skill levels of MS Office, including Outlook, Word, Excel, and PowerPoint
