The Traffic Coordinator/Project Manager (TC/PM) is responsible for efficiently and effectively managing the work flow within the Marketing Communications and Brand Advertising Department and ensuring projects stay on schedule. The MarCom Department currently manage approximately 1,000 projects annually, including B2C and B2B. The TC/PM works to improve internal communications within the department and ensure consistency in processes across all creative projects through the careful monitoring and prioritizing of project workflow and timelines. This requires physically moving through the department, making certain that individuals assigned to specific tasks are executing them according to schedule and assisting in securing all the necessary sign-offs. The TC/PM is ultimately responsible for keeping work tightly prioritized and moving forward. The TC/PM also will project manage less complex creative projects (i.e., reprints, projects requiring minimal changes). In addition, the TC/PM will serve as proofreader, fulfillment and mailing vendor liaison, mailing coordinator, print production support, and budget coordinator.

Essential Functions:
- Opens all jobs in the MOM system and assigns a project number. Establishes and revises project timelines. Communicates project timelines internally with appropriate MarCom staff members for review and to ensure milestones are met and work is completed by assigned deadline.
- Creates and coordinates key tasks and milestones. Adjusts timelines, as needed. Elevate and identify deadline urgency to ensure timely delivery of project milestones. Maintains key communications with consultants/project managers, designers, and production during development of project. Partners with consultants/project managers, designers, and production to ensure work is moving through department efficiently, with a focus on all deadlines.
- Set daily priorities and project planning with team members.
- Manages process of sending proofs to client, SMEs, and other reviewers on behalf of communications consultants and coordinates returns, as needed. Monitors information flow throughout department.
- Works with manager of member marketing/business marketing communications and manager of creative services to expedite all "crisis jobs." However, the majority of work should flow through creative/production on a reasonable basis.
- Communicates with Consultants/Project Managers regularly about the current status of all jobs in process.
- Leads and facilitates weekly traffic meeting with Marketing and Member Communications team.
- Troubleshoots production and timing issues. Reports any problems affecting job quality and due dates. Works with communications consultant/project managers and team managers to get projects back on track.
- Develops reports that notify Marketing Communications leadership when projects are not on time or are in jeopardy of not meeting the final deadline.
- Proofs all materials before released to printer or posted live on Web or other electronic media.
- Obtains quotes from printers and lettershops, as appropriate.
- Coordinates mailings working directly with lettershop. Audits mailings for accuracy and monitors for timely completion.
- Accountable for budget tracking including reporting monthly accruals.
- Serves as liaison for all fulfillment and lettershop vendors; monitors inventory; coordinates with and trains key Kaiser Permanente staff members; troubleshoots problems.
- Understands department procedures and utilize systems properly.
- Functions as MOM system power user and modifies workflow on an as needed basis. Conducts training for other team members as necessary.




Requirements

Basic Qualifications:
- Bachelor's Degree
- Project Management Training
- Proofreading Training
- 4 years of related experience. Project or traffic management experience in a high pace marketing oriented environment
- 4 years of print production and mailing experience in a high pace marketing oriented environment
- 5 years of proofreading experience
- Managing multiple and competing priorities
- Detail oriented
- Deadline sensitive
- Basic knowledge of marketing traffic management
- Must be able communicate effectively and persistently without becoming a distraction
- Must be trustworthy and able to gain the respect of peers and remain impartial to people issues while maintaining focus on work outcome
- Strong attention to operational workflow to effectively track status of projects
- Ability to build strong relationships and work across a multi-function department

- Print Production (securing bids, specs, etc.) Training
- Mailing and Postal Procedures Training
- 5 years of project or traffic management experience in a high pace marketing oriented environment
