The Event Design and Operation Team (EDO) provides planning and execution support for programs across teams at the KIPP Foundation. Our goal is to ensure that events are supported from start to finish and executed seamlessly and consistently across teams.
The EDO team is a high functioning team with keen attention to detail that provides thought partnership and appropriate logistical support. The EDO team is responsible for planning and executing high quality events by managing logistical details, stakeholder communication, program evaluation support, and critical financial functions.
We are seeking an energetic and highly organized Event Design and Operations Associate. The candidate should enjoy planning and executing on programming events and special projects and be eager to work with multiple high-level stakeholders in a fast-paced environment. A successful candidate will have excellent critical thinking and problem-solving skills, strong written and verbal communications skills, a positive outlook and mindset, and be committed to a high level of excellence in program event planning and project management and execution.
This is a full-time, exempt position, which can be located in any of our four KIPP offices (San Francisco, New York, Washington, DC, or Chicago). The Coordinator of Event Design and Operations reports to the Senior Manager, Event Design and Operations. He/she is a member of the Event Design and Operations team, works collaboratively with various teams across the KIPP Foundation
Key Responsibilities and Duties
Co-create a project plan aligned to the programming lead's vision for the programming event
Facilitate planning calls with cohort planning team
Create deadlines for each event, ensuring colleagues complete key action steps by programming deadlines
Approve and process team and event financial processes
Deliver event communication, including the programming agenda, logistical information for instructors, participants, and team, and other event-related documents
Execute all event related operations, including set-up, registration, session logistics, off-site social activities/dinners, break-down, and ordering/shipping materials
Review, edit, and print event related materials
Work with external vendors, including hotel, catering, and transportation vendors prior to and during events to ensure that events run smoothly
Support a range of special projects to be determined
Create event surveys and participate in programming after-action calls
Manage operations team supplies and materials including but not limited to:
o Printing programming-related materials for programs
o Packing and shipping instructionally-related materials
Maintain internal and external systems for the team's knowledge management

Experience and Qualifications
o At least 3 to 5 years of professional experience. Experience managing large-scale events of 1,000 or more attendees preferred.
o Committed to the belief that outstanding school leaders and teachers can achieve excellent outcomes for all students, and energized by working with leaders in K-12 education
o Previous project or event management experience preferred
o Maintains a positive, service-oriented mindset and an eagerness to learn
o Willingness to travel frequently (10-12 days monthly and 4-6 consecutive weeks during the summer), including some weekends
o Demonstrated professional finesse that will allow you to successfully handle the unique and ever evolving needs of our facilitators (many of whom are high profile) and attendees
o A love of being flexible and nimble. A demonstrated ability to roll with the punches and handle the unknown.
o Proficiency with JotForm, Survey Monkey, Qualtrics, Cvent, and Microsoft Office Suite. Candidates must be proficient at managing multiple sheets and working with mail merge functions in Excel,
