JOB SUMMARY

Our Clinical Support Coordinator plays a key role in supporting Childrens Centers mission by providing front desk reception duties, clinical and general administrative support, and Records Custodian duties.

Compensation: $16-17.50/hr ; full-time position

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Answer phones, greet families and visitors, sign for deliveries, monitor Visitor Log.
Assist clients with Registration forms and serve as host to Childrens Center clients and families, making them feel welcome.
Receive, log and serve as primary point of contact for all records subpoenas.
As records custodian of Childrens Center patient records, act as health information manager in collaboration with Administrative Director/HIPAA Security Officer and Clinical Supervisors.
Approve release of records in accordance with Childrens Center procedures and guidelines.
Perform clinical support duties such as creating patient charts, copying and mailing medical records, entering patient data into database, monitoring patient reports, calling for lab pick-up and managing lab results, copying DVDs for Law Enforcement.
Participate in the development of Childrens Centers best practices; regularly adjust workflow and processes to be current with procedures, guidelines, and best practices.
Coordinate with volunteers to manage administrative tasks.
Sit with children in waiting room as needed.
Operate in a trauma-informed manner, and maintain confidentiality as required by HIPAA.
Participate in team meetings, staff trainings, and case consultation.
Work collaboratively in a team environment. Develop and maintain positive working relationships at all levels of the organization and with agency partners.

QUALIFICATIONS

Associate degree or equivalent from two-year college or technical school and two or more years related experience; OR equivalent combination of education and experience.
Strong organizational skills and attention to detail.
Excellent communication skills in English - writing, reading, and speaking (via phone and in person).
Fluency in Spanish.
Strong computer skills and proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and ability to learn other data management system.
Problem-solving capabilities
Discreet in handling confidential matters and materials, tactful and diplomatic in dealing with others.
Ability and experience managing multiple and competing tasks and priorities.
Team player with a friendly, compassionate, customer service focus.
Comfortable in ambiguous situations.
PHYSICAL DEMANDS & WORK ENVIRONMENT

While performing the essential functions of the job, the employee is regularly required to speak, see, sit, talk and hear; reach with hands and arms. The employee is frequently required to walk. The employee is occasionally required to stand and stoop, kneel, crouch or crawl, and occasionally lift and/or move up to 10 pounds.

This job operates in a professional clinical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines and filing cabinets. The noise level in the work environment is usually moderate with moderate distractions.

ADDITIONAL INFORMATION

At times the employee is required to engage with children, families, staff and the phone system simultaneously.

A criminal background check, sex offender registry check, and DHS child welfare registry check are required for employment at Childrens Center and will be completed for all finalists.
