The Administrative Coordinator is a non-supervisory role that manages all administrative and logistical duties to support the work of the Movement-Building and Issue-Based Campaigning unit. The Administrative Coordinator works closely with the Senior Director, Movement-Building and Issue-Based Campaigning Work, the Director of Chapter Management, the Director of Campaign & Action, and the Sr. Advisor, National Hispanic Engagement to optimize business operations, including budget management, meeting and event coordination, and translation and interpretation services (English/Spanish) as needed.

Job Summary

The Administrative Coordinator is a non-supervisory role that manages all administrative and logistical duties to support the work of the Movement-Building and Issue-Based Campaigning unit. The Administrative Coordinator works closely with the Senior Director, Movement-Building and Issue-Based Campaigning Work, the Director of Chapter Management, the Director of Campaign & Action, and the Sr. Advisor, National Hispanic Engagement to optimize business operations, including budget management, meeting and event coordination, and translation and interpretation services (English/Spanish) as needed.

Roles and Key Responsibilities

  • Handles internal and external scheduling of meetings and events for the Sr. Director and Directors
  • Plans and coordinates the logistics of internal and external meetings and events
  • Arranges travel for Sr. Director and Directors, including coordination of tickets and visas, processes travel-expense reporting and reimbursements.
  • Manages routine phone and email inquiries to the department, Sr. Director and Directors, in English and Spanish.
  • Provides coordination for departmental budget preparation and monitoring across all units, including preparing and monitoring the annual budget.
  • Facilitates the process for hiring of consultants, interns, and temporary staff as needed and interfaces with Human Resources and procurement as needed.
  • Formats, edits, proofreads, reproduces and distributes materials, including PowerPoint presentations, spreadsheets, reports and other documents in English and Spanish as needed.
  • Attends meetings and produces meeting minutes and notes as needed.
  • Manages content for relevant SharePoint sites, including posting documents, relevant communications and organizing information.
  • Conducts research as necessary for various projects.
  • Supports other Mission & Mobilization units as needed

Basic Qualifications

  • Associate degree in the humanities, business, or related field plus 3 years work experience, or Bachelor's degree plus one year work experience
  • Strong communication skills, both oral and written
  • Excellent organizational skills and strong attention to detail
  • Proactive approach to responsibility and team building
  • Creative approach to work with emphasis on systems efficiency
  • Proficiency with MS Office 365 Suite including Outlook, Word, Excel and Power Point; familiarity with SharePoint a plus
  • Ability to work under pressure, handle demands of multiple people and priorities, functioning independently or in coordination with others
  • Ability to handle routine work as well as special assignments; willingness to develop new skills
  • Consistently exercises good judgment regarding priorities and workflow
  • Ability to initiate projects, consulting with appropriate staff as needed, and see tasks through to completion

Required Languages -- English and Spanish (native/fluent)

Travel-- Very limited; as needed

Preferred Qualifications

  • Working knowledge of Catholic Church structure
  • Familiarity with customer relations databases or previous experience with constituent relationship management database such as Salesforce or similar customer database
