Job Description: 

Q.E.D. Systems, Inc. has an immediate opening for an executive assistant in our Virginia Beach office. Position reports directly to Director of Corporate Planning.

Candidate will have ten years of experience with general administrative duties such as typing, filing, data entry, meeting organization and scheduling.   Candidate will be required to enter data into spreadsheets and databases, update records, proofread and format formal letters, memoranda and responses for accuracy and compliance with contract requirements.

The candidate will have at least two years of experience in Government contracts, marketing, and project financial analysis  (project budget vs. expenditure analysis).

The candidate must possess excellent communication skills since much of the work will involve close communications with program managers, subject matter experts, and other companies to gather and assemble project information. The position will require minimal travel (less than 10%) to customer sites and trade shows within the continental U.S.

Job Requirements/skill sets:

Candidate should have at least 10 years of experience in administrative duties and financial analysis support.  Resume should include all experience with the following:

Computer Software:

Experience with Microsoft Excel (advanced knowledge), Word, Outlook, Visio, Project and PowerPoint. Experience with Graphic Software such as Adobe Creative Cloud Suites is a plus.   Candidate shall be able to type at 45 wpm or better.

Job Duties:

Bi-Weekly status reports, maintain “manager notes”, follow up with new leads, maintain NSWC Org Chart status with cross reference to Contract Vehicle Book, update office copy of Contract Vehicle Book, develop presentations to capture company business functions, Trade Show planning, scheduling and participation in meetings with current and prospective clients, coordinate projects with business partners as needed, involvement with process improvement teams, active in hiring processes for the group and other duties as assigned. Maintaining coordination with Company Directors on associated projects and reporting.

Administrative Support:

Ability to work with limited supervision to develop technical and financial reports, set up meetings, create presentations, and track project progress against planned performance.


Bachelor’s degree in related field required.

Security Clearance:

Candidate will currently possess or be able to obtain a Government security clearance.
