JOB SUMMARY

This position assists the Director of Pastoral Formation in programmatic, administrative and clerical support. This includes preparing course and program materials, correspondence and messages, communications with faculty, staff, seminarians, field education supervisors, and parishes. Provides administrative assistance to the department by developing reports, tracking field education assignments for students, developing program materials, and related support. Coordinates J-Term and Summer Programs for the Department of Pastoral Formation. Reports to the Director of Pastoral Formation.

ESSENTIAL FUNCTIONS

1. Provide administrative support for the Pastoral Formation Department:

  • Coordinate materials for courses that the pastoral formation department provides as part of the formation program. This includes preparing class materials, uploads to Canvas, book orders, syllabus preparation, etc.
  • Assist in securing speakers and organizational programming for all classes and programs offered by the Pastoral Formation Department.
  • Provide logistical support for J-Term Theology I & Pre-Theo II programs, March for Life, and summer programs: travel and housing coordination, planning, expenses, and execution of program content and materials.
  • Set up and tracking of teaching parish assignments including correspondence, monthly reports, mileage reimbursements, etc.
  • Scheduling of meetings for the Pastoral Formation Department and preparation of all necessary materials.
  • Maintain department files, SharePoint files, Teaching Parish files, course files.
  • Maintain Teaching Parish database.
  • Calendaring for the department, as well as for the Director's formation sessions.
  • Prepare reports for Administrative meetings and other meetings as requested.
  • Coordinate the Director's onsite visits to field education locations.

2. Assist the Director in developing programming for all aspects of the Pastoral Formation Department, including:

  • Creative class experiences for seminarians around topics relevant to parish ministry.
  • Training and ongoing formation of Teaching Parish Supervisors and Teaching Parish Committees.
  • Assist in planning, coordinating and managing summer programs: Spiritual Pastoral Ministry (DVPT 511), Pastoral Ministry to the Sick (DVPT 514), Spanish Language Immersion (DVPT 660), and Deacon Summer Placement (DVPT 742).
  • Manage program budgets, track expenditures and prepare necessary reports.
  • Work with Director of Pastoral Formation and other staff in response to outcomes identified in program evaluations.

3. Assist the Director in planning and coordination of J-Term pastoral programs:

  • Pre-Theology II J-Term Parish Placement (DVPT 202)
  • Theology I Diocesan Practicum (DVPT 513)
  • Theology I March for Life
  • Manage program budgets, track expenditures and prepare necessary reports.
  • Work with Director of Pastoral Formation and other staff in response to outcomes identified in program evaluations.

4. Fill-in as a back-up receptionist and for other ad hoc needs when other support is not available.


QUALIFICATIONS

Minimum Qualifications

  • High School diploma or the equivalent (e.g., GED, etc.)
  • Four years of administrative support experience, preferably in higher education
