The Office of the Chief Operating Officer (OCOO) is comprised of the Strategic School Operations, Food & Nutrition Services, School Security, Facilities, Compliance, and Attendance teams. OCOO is responsible for guiding the operations and functions for all 118 schools within the District. Our goal is for all DCPS schools to be ready on the first day of school and every day thereafter so that all principals can lead, all teachers can teach, and all students can learn.
The Facilities division is comprised of three main teams: Facility Planning & Design, Facility Management, and Warehouse & Logistics.
The Coordinator, Facilities Maintenance works closely with school leaders and custodial staffs at assigned DCPS schools to ensure that facility issues are reported and buildings are clean and well-maintained, so all students are given the opportunity to learn in an environment that is safe, clean, and engaging. The Facilities Maintenance team may at times be required to respond quickly to emergencies via phone, email, or in-person outside of the normal workday or workweek.
The Coordinator, Facilities Maintenance will report to the Director, Facilities Maintenance.
Essential Duties and Responsibilities
The below statements are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties, and/or skills required. Other duties may be assigned.
- Coordinates or implements several small or medium-sized construction-related renovations, phases, and/or stabilization projects or components of a larger modernization projects.
- Determines nature of obstacles and best DCPS or Department of General Services (DGS) staff to resolve; and tracks and follows up until issue is resolved.
- Schedules and coordinates program-related meetings, conferences, appointments, and logistics.
- Coordinates and follows up on logistics of determining the appropriate resources and/or funding for facilities projects or custodial issues, working with the Business Operations and Contracts & Acquisitions teams as appropriate; and may provide support for budget, procurement, and human resources needs of the Facilities Maintenance team.
- Builds relationships and liaises with various internal departments and DGS to drive collaboration and project success.
- Tracks and reports progress of projects and work orders through use of various computer programs and tools.
- Interacts with and responds effectively to urgent requests from multiple internal and external DCPS stakeholders; and remains professional and solutions-oriented in all interactions.
- Refines and improves project management process; identifies patterns/trends in issues across multiple school projects; and works with the Director, Facilities Maintenance to develop longer-term, systematic solutions, systems, processes, standards, and guidance to address them.
- Stays closely aware of progress of projects, high-level initiatives, and emerging issues across DCPS organization; and informs the Director of developments that impact or change the direction of programmatic priorities.
- Ensures the success of project completion and the successful transition of property management associated with school opening each summer/fall.
- Keeps informed about innovations, developments, and research in the field of maintaining sustainable buildings with LEED Green building features.
- Delivers information and training to school-based staff on custodial and facilities topics.
- Works closely with school leaders to determine how to appropriately communicate with the school community when custodial and facility issues that impact students arise, including issues which result in school closures.
- Performs complex data analysis to monitor closure rates of work orders and other reported issues; and presents information in a clear and coherent way to DCPS leadership.
- Bachelor's degree and two to four years of related work experience.
- Master's degree preferred.
- Previous exposure to or experience in the education sector a plus.
- Previous exposure to design review and construction related projects.
- Strong interpersonal skills.
- Detail-oriented with a strong ability to multitask.
- Experience managing sustainable buildings and/or LEED Green buildings a plus.
- Experience with community or constituent engagement a plus.
