Position Objective:

Conference Services Coordinator is primarily responsible for identifying and meeting with both inside hospital groups and service lines as well as outside groups and organizations in a sales function to secure new and repeat revenue-generating meetings and events in the Doordan Conference Center (DCC), as well as overall responsibility for the day to day management of the DCC to include all event logistics and coordination.

Essential Job Duties:

Responsible for coordinating all A/V needs for clients and ensures the correct set up and functionality.  Assists with presentations as needed; schedules/coordinates onsite technical support as needed.

Maintains accurate records in EMS for all bookings to track costs and categorize to execute actual booking data to help maximize efficiency and optimize the Conference Centers space.

Identifies outside groups and organizations, meets with external and internal clients, scheduling facility tours as appropriate.

Communicates with the management team, checks client requirements, and contacts the operational team to ensure all services provided meet the internal and external clients' needs for an efficient event.  Works directly with Auxiliary staff to maintain and update the volunteer schedule, and works with Service Chair to ensure smooth communication and training.

Troubleshoots and resolves day-to-day problems as they arise. Executes and delivers day-to-day information to all departments to ensure event needs are met.

Educational/Experience Requirements:

Two years' experience performing sales and meeting coordination for a hotel or conference center. Sales and meeting coordination experience may be substituted on a year-for-year basis for up to four years of the required education.

BA/BS in communications or business related field.

Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
