JOB SUMMARY

The program assistant will be the primary point of contact at Hope Center, whose responsibilities will include handling phone calls for shelter inquiries and calls from the general public.  This position will provide administrative support to Hope Center staff, including the director, intake, and case managers.  They will also work closely with volunteers to coordinate their service activities and communication.  Additionally, the program assistant will be a role model for Hope Center clients in order to promote positive relationships, emotional wellness, and accountability.

 

RESPONSIBILITIES

General

  • Participate in the spiritual growth and Christian instruction of those who Hope Ministries serves. This can include (but is not restricted to) personal mentoring, the sharing of Scripture and Biblical encouragement, and praying with program participants. This may be in a structured setting (i.e. a classroom or chapel), or unstructured, with individual clients as the need arises.
  • Participate in the self-evaluation process.
  • Teach and model daily life skills, including relationships, parenting, problem solving, conflict resolution, emotional wellness, etc. to clients.
  • Hold women and children residing at Hope Center accountable to upholding program requirements and working their recovery plans.
  • Maintain documentation, policies and procedures, objectives in accordance with Hope Center standards.
  • Work in a spirit of cooperation and mutual assistance with staff, clients, and volunteers.
  • Provide crisis intervention and emotional support with clients when needed.
  • Represent the face of Hope Ministries through processing phone calls and managing visitor entry to basement during office hours:
  • Process shelter and program inquiries, including initial phone screen and assisting with call backs.
  • Maintain client software through data entry and running monthly reports, communicating facility requests, and setting up training new staff members on IT functions.
  • Provide support to volunteers through communication, coordination of their service assignments and their scheduling in conjunction with the Volunteer Coordinator and answering questions.
  • Provide administrative support to Director of Women and Children’s Ministries, including assisting the director in maintaining weekly program calendars and schedules, forms, and procedures; coordinating the client photo boards; assisting in management and routing of “permission to be excused from class” forms; maintaining and distributing of petty cash and client funds; etc.
  • Provide administrative support to case managers and program services manager to include review and editing of communication materials and document filing.
  • Manage office and program supplies, mail systems, computer, and phone technology.
  • Attend WCM meetings and educational training as approved or assigned by the director and as opportunity allows, including staff meetings (required attendance of 75% of weekly meetings).
  • Lead morning devotions or classes as requested.
  • Perform other duties assigned by the director.

 

QUALIFICATIONS

  • Mature Christian with a heart to minister to women and children who come to us for assistance.
  • Able to lead others toward spiritual maturity and model Christ-like behaviors.
  • A good knowledge of Scripture and an ability to apply Biblical principles to real life situations.
  • A lifestyle that demonstrates moral and ethical adherence to the teachings of the Bible and an expressed desire to minister to those who are poor, needy and homeless.
  • Strong leadership and judgment skills, sensitivity, compassion, and ability to work well with diverse groups of people with concern about their needs, and an ability to motivate and provide tough love when appropriate.
  • Excellent oral and written communication skills.
  • Excellent organizational skills.
  • Excellent skills to operate Microsoft Office programs including Word, Excel, Outlook, and PowerPoint with the ability to learn and navigate new computer / software systems.
  • Ability to lift up to 40 pounds.
  • A high school diploma or equivalent is required. Associates or Bachelor’s degree is preferred or two years’ experience working in a recovery environment with women and children.

 

Reports to:  Director of Women and Children’s Ministries

Employment Status:  Full-time hourly/Non-exempt (40 hours per week)

Work Schedule:

  • Monday through Friday, 8:30-5PM
  • ½-hour lunch break
  • Schedule to include Sunday morning rotation once every 6-8 weeks
  • Monday morning staff meeting attendance required (8:30-10AM)
