-Assist 200 plus staff, managers/ supervisors (30 plus) visitors and patients
-Maintain Databases and administrative duties for staff members (including HR issues)
- perform functions in various software applications, including creating flyers/forms etc.
- perform office and project management/scheduling/vast administrative duties
The Administrative Assistant will be primarily responsible for supporting the team that could involve a wide variety of situations involving clerical and administrative functions within the office. This role will also need to be flexible to support other departments as business needs arise with special projects or duties. This is a Day Shift schedule (7:00am or potentially 8:00am start time) and will have interaction between the frontline staff and our client, so a professional demeanor is paramount. The ability to keep all information confidential will be an imperative requirement of this role. The ideal candidate will have working knowledge and have experience with MS Office programs, Kronos, and many other programs and processes. This role will report directly to the Director of the facility for Sodexo.

Primary Responsibilities Include (but are not limited to):
Providing stellar service to the client, customers and team
Processing expense reports and organizing HR files
Purchasing (PO's, invoicing, documenting and tracking, vendor files)
Working with our vendors and the details within our contracts
Use Kronos time keeping to track and process payroll submissions
Tracking vacation, sick time and absentees
Assist HR Manager with some duties
Maintaining email systems, calendars, and file sharing systems (networks)
Ability to work in a fast paced environment and have a sense of urgency
The ideal candidate will have training, knowledge or skills and be:
Technically savvy with computers, tablets, and printers
Excellent oral and written communication skills and interpersonal skills with ability to communicate with all levels of management
Ability to work independently, as well as in a team environment
Strong analytical skills
Ability to catalogue, file and archive both digital and paper files
Must be a self-starter with high degree of initiative
Ability to gain confidence and respect of management and staff through attributes such as professionalism and positive attitude
Demonstrated organization and comprehension skills
Proficient in Microsoft Office Suite (including Excel, Visio, PowerPoint, and Project Manager).
